How to use this file

An exclusive resource for students of Arun's AI Agents for Leaders Who Have No Time to Learn AI course.

Prepared fictional example. Northstar, Alex, Priya, Sam and Jordan are invented for this course. These files are fictional practice inputs, so you can try the strategy without gathering confidential workplace documents.

The transcript is the written record of Friday's meeting. The leader context holds what Alex wants from Monday's review, which the transcript alone does not say.

Try it (optional)

  1. Give the transcript to an AI product your employer permits.
  2. Add Alex's purpose for Monday, or ask the AI to interview you first and answer from the leader context.
  3. Compare what comes back with the prepared follow-through page.

# Fictional meeting transcript: Northstar client onboarding check-in

**Status:** Fictional practice input for the Section 1 course prototype. All people, organizations, project details, and dates are invented. This is not a record of a real meeting or client.

**Meeting date:** Friday, October 2, 2026
**Purpose:** Prepare for a client progress review on Monday, October 5, 2026 at 11:00 a.m. Asia/Kolkata.
**Participants:** Alex (project leader), Priya (delivery lead), Sam (onboarding coordinator), Jordan (fictional client contact)

**Alex:** Thanks, everyone. For Monday, I want to know what's ready, what's holding up onboarding, and whether I need to make a decision. Priya, where are we?

**Priya:** The welcome guide is ready. I added the contact details, first-week outline, and support route. Our team can begin account setup Tuesday, October 6, and hold the first working session Thursday, October 8. Those dates still work for delivery.

**Alex:** What could stop us starting Tuesday?

**Priya:** We need the client's role list before we can request the right access approvals. Jordan said their team was checking who needs access. Without the list, we could ask them to approve the wrong permissions.

**Jordan:** Our operations manager is reviewing the list. I can send it by 3 p.m. today, but I need their confirmation before I promise who needs each level of access.

**Alex:** We'll keep Tuesday as the planned start and request approvals when the list arrives. If it comes late, I'll decide whether to move the date or continue with the work that doesn't need access. Let's not change the plan based on a guess.

**Sam:** The welcome guide says to contact the “account coordinator” if someone cannot sign in. Is that the right title on your side?

**Jordan:** Please use “client coordinator.” That's what our staff recognize. I'll be the contact for this rollout and tell the team where to send questions.

**Alex:** Let's make that change. Sam, update the guide and send it to Priya for a quick check by 4 p.m. today.

**Sam:** Yes. Priya, can you return any corrections by 10 a.m. Monday so we can share the final guide in the review?

**Priya:** Yes, I'll check it Monday morning.

**Alex:** Do we have someone available for the client working session Thursday afternoon?

**Priya:** A support specialist is available from 2 to 3 p.m. Thursday, October 8. I haven't confirmed whether they can stay for the whole session because another client call may run over.

**Jordan:** Our coordinator can join at 2. I still need to check whether our operations manager can attend. They should be there for the access questions, but I can't confirm yet.

**Alex:** The time works for you and we have some support coverage, but both teams have an availability question to settle. Priya, please confirm full coverage by 1 p.m. Monday. Jordan, please let us know about the operations manager by 3 p.m. Monday. If either person can't attend, I'll decide whether we keep the session for general onboarding or move the access discussion.

**Sam:** I'll send the corrected guide today.

**Priya:** I'll request approvals when Jordan sends the role list and check our Thursday coverage Monday.

**Jordan:** I'll send the list by 3 today and check the operations manager's availability.

**Alex:** For Monday's review, I'll cover the ready guide, confirmed delivery dates, and the access list we're waiting for. We've decided to keep Tuesday as the planned start while we wait. We'll settle the Thursday session format after both teams confirm who can attend.

# Leader context for follow-up

**Status:** Fictional practice input. Alex and the Northstar project are invented. No AI response or agent-generated draft is included.

## Initial natural request

I'm getting ready for Monday's client review and I don't want to miss something the team is waiting on. Can you help me see what's ready, what's stuck, and what I may need to decide before we meet? I have a few follow-ups to send afterward, and I'd like a reminder to prepare before the review.

## Further intent available for an interview or refinement

Before the review, I need each person to tell me their current blocker and the decision they need from me, if any. That will help me go into the client conversation ready to deal with the issue rather than ask everyone to send a general update. I prefer writing that is direct, warm, and clear.

As a proposed personal reminder, use my dedicated “Leadership Course Demo” calendar for a private, no-attendees, 15-minute event on Monday, October 5, 2026 at 10:00 a.m. Asia/Kolkata. Title it “Course demo: review client progress follow-up.” Keep this as a proposal for me to review. This example does not authorize creating an event, and it is not evidence that the calendar is available or that anything has been scheduled.
